Subject: Important Update – Cancellation of Sports Day (Thursday 25^th June)

Dear Parents and Carers,

I am writing to inform you that, due to the forecast extreme heat and in line with public health guidance, we have taken the decision to cancel Sports Day scheduled for this Thursday.

The UK Health Security Agency has issued a Red Heat-Health Alert for the East Midlands, indicating a high level of risk. Guidance for schools during such periods specifically advises that events such as sports days should be reviewed and, where necessary, rearranged to ensure the safety and wellbeing of children.

We are currently exploring options for an alternative date and will share further details with you as soon as these arrangements are confirmed.

While Sports Day will not go ahead, other activities planned for Sports Week will continue with appropriate mitigations in place, including:

• Adjusting or shortening activities and avoiding the hottest part of the day (11am–3pm)
• Reducing physical intensity where necessary
• Ensuring children have access to shade, regular rest breaks, and drinking water
• Encouraging the use of sun hats and sun cream
• Relaxing uniform expectations so children can wear light, loose-fitting clothing suitable for hot weather
• Close staff supervision to identify and respond to any signs of heat-related illness

The safety and wellbeing of our pupils and staff remain our absolute priority, and we appreciate your understanding and support in this decision.
